Context
Regione Lombardia manages Italy’s most populous region and oversees internship applications submitted by educational institutions and companies. Each application must meet strict criteria before funding is released. Currently, two staff members manually verify each request, creating a slow, labor-intensive process that often causes delays due to high submission volumes.
Consequently, processing bottlenecks frequently occur, and approvals can be delayed. This situation also increases the risk of administrative errors, making a more efficient system essential.
Challenge & Solutions
➤ Manual validation caused delays, errors, and slow fund disbursement.
➤ Only two operators were available, limiting the ability to perform thorough, consistent reviews.

To solve this, Regione Lombardia integrated GAIA into its internal review system. GAIA autonomously checks whether each application complies with defined criteria. When an application meets the requirements, it is forwarded to a human operator for final approval. If discrepancies exist, GAIA highlights only the problematic fields, enabling staff to focus on high-priority cases.
Phase 2 – GAIA Web:
In the next phase, GAIA will autonomously send anomaly alerts via self-generated emails. When a required document is missing, the system notifies the applicant. Once the corrected file is uploaded, GAIA re-verifies the case and updates the record—entirely without human intervention.
As a result, Regione Lombardia has shifted from reactive supervision to intelligent automation, ensuring faster, more accurate application reviews with full traceability.
